Set up a simple capture station
You do not need a scanner for every everyday record. A modern phone can capture legible pages when the paper is flat, the light is even and the camera is square to the document.
- Use a firm, plain surface that contrasts with the page.
- Move close to a window or use two lights from opposite sides.
- Turn off direct flash if it creates a bright reflection or hard shadow.
- Clean the camera lens; fingerprints soften text more than people expect.
- Use the main rear camera rather than digital zoom where possible.
For white paper, a darker neutral surface makes the edges easier to see. For a dark receipt or card, use a lighter background. Keep patterns, other papers and personal items outside the frame.
Photograph each page for readability
- Flatten the page
Smooth folds gently. Use clean, non-damaging weights outside the printed area if a page curls.
- Hold the camera parallel
Centre it above the page so opposite edges remain parallel. A steep angle makes one end narrower and text harder to read.
- Include every edge
Leave a small border around the paper. Cropping can happen later; missing corners cannot be recovered.
- Tap to focus on important text
Hold still, capture, then zoom into the smallest line, numbers and signature area before moving the page.
- Retake immediately when needed
Motion blur, glare and shadows are easiest to fix while the document and lighting are still in place.
Mirrors, screens, labels and other documents can reveal extra information. Frame only what belongs in the record.
Special care for receipts
Thermal receipts can fade, curl and reflect light. Photograph them as soon as practical, especially when they support a warranty, reimbursement or tax record. The PDF is a convenient copy; keep the physical original when rules or policy require it.
- Flatten the receipt without covering the merchant, date, total or reference number.
- For a very long receipt, capture overlapping sections so no line is lost. Put them in top-to-bottom order.
- If the reverse contains terms, warranty information or handwritten notes, capture that side immediately after the front.
- Use soft light from the side rather than a flash directly above glossy paper.
- Group receipts by a useful system—transaction date, trip, project or reporting period.
Repeat one or two visible lines between consecutive captures. That overlap lets a reader confirm that nothing disappeared between images.
Prepare the image files without losing evidence
Use a copy when cropping or enhancing an important record. Crop away the table and empty surroundings, but retain the full paper edge when it helps demonstrate completeness. Avoid aggressive filters that erase faint printing, alter colours or make handwriting look different.
Check whether your device exported the image as JPG, PNG or WebP; all three are supported. If it uses another format, export a normal JPG or PNG copy from a trusted editor while keeping the original. Do not send the images through a chat app simply to transfer them if that app downsizes photos.
Use a naming system before the camera roll becomes confusing
The finished PDF name should describe the contents without exposing unnecessary private data. Examples include project-expenses-2026-09, appliance-warranty-receipts or course-notes-module-03. Avoid putting full account numbers, identity numbers or medical details in a filename that may appear in email subject lines and download histories.
Reliable converter settings for paper records
| Setting | Starting choice | Reason |
|---|---|---|
| Page size | A4 or Letter used by the recipient | Creates a predictable printable stack. |
| Orientation | Auto for mixed shapes; Portrait for a uniform document | Keeps tall receipts readable while supporting wide invoices. |
| Margin | Balanced | Adds a safe printing border and separates the paper from the PDF edge. |
| Image fit | Fit entire image | Protects totals, signatures and page edges from cropping. |
| Background | Clean white | Looks natural for paperwork and supports transparent images. |
| Quality | Balanced; High for tiny or faint text | Controls file size without defaulting to an oversized result. |
Add every capture, drag them into logical order and remove retakes that are no longer needed. Rotate any sideways page. If there are more than 40 images, create clearly numbered volumes at a meaningful boundary.
Check the PDF, then archive it responsibly
- Open the downloaded PDF and count the pages.
- Check dates, totals, reference numbers and faint print at normal zoom.
- Confirm front/back pairs and long-receipt sections are adjacent.
- Look for a finger, shadow or crop covering information.
- Keep the source images until the PDF has been accepted or backed up.
- Store and share the PDF according to the sensitivity of the documents.
Local conversion keeps the image contents out of AnyImageToPDF's servers, but the downloaded file is still on your device. Device backups, shared folders, email and messaging services have their own privacy behaviour. Read the privacy guide before handling highly sensitive documents.
